Title/Role: Admin. Assistant
Division: Long Island
Location: Bethpage, NY
Reporting to: Project Manager & VP
 

Position Summary:
As an Administrative Assistant, you will be the operational backbone of our Long Island division. You will bridge the gap between our corporate HR/IT functions and our field operations, ensuring that compliance, facility management, and project filings are handled with precision.

Compliance & Project Support

  • Regulatory Filings: Assist with BEC and FDNY filings, ensuring accuracy and timely submissions while coordinating with Project Managers to close out all requirements.

  • ISO & Audit Readiness: Support recurring ISO policy and compliance requirements by maintaining physical security logs (server room access, guest sign-ins) and ensuring records are audit-ready.

  • Licensing & Training: Manage employee rosters and track all field staff certifications, trainings, and electrical licensing requirements through The Onion platform.

Operational Administration

  • Onboarding/Offboarding: Coordinate with HR and Field teams to track new hire activities, policy acknowledgments, and equipment returns.
  • Financial Tracking: Reconcile monthly expenses, invoices, and BMO expense reports.Vendor Relations: Act as the primary point of contact for facility-related vendors (HVAC, plumbing, copier maintenance) and manage contract renewal dates for utilities and internet services.
  • Reporting: Prepare non-technical monthly reports regarding IT training, cellular usage, and hardware inventory.

Office Coordination

  • Oversee the daily needs of the Bethpage office, including ordering breakroom/office supplies and maintaining vehicle logs.

  • ​​​​​​​Serve as a liaison for satellite office points of contact to ensure company-wide policy alignment.

Salary Range: $25-$30/hour
